Access Oahu Tours ("we," "us") operates guided sightseeing tours on O'ahu. This policy explains what personal information we collect, why, who we share it with, and how long we keep it.

1. Information we collect

When you book a tour

  • Name, email address, and phone number

  • Tour, date, party size, and pickup location

  • Emergency contact name and phone number

  • Payment confirmation details. We never see or store your full card number. Payments are handled by RezdyPay, our payment gateway.

When you complete a waiver

  • Your acceptance ofourRe1easeofLiability, with the date and time of acceptance and, for digital acceptance, the booking reference and IP address recorded as proof of agreement. Verify THIS!

  • Whether you have consented to photography

Health, mobility, and accessibility information — only what you choose to tell us

  • Medical conditions, mobility limitations, or accessibility needs you disclose so we can host you safely

  • Allergies you tell us about, including allergies to animals

  • The presence of a service animal, if you choose to mention it. You are never required to disclose a service animal in advance, and we do not ask for documentation about it.

When you contact us — your name, email, phone, and whatever you write to us.

When you visit our website — standard technical information such as IP address, browser type, pages visited, and referring site, collected through analytics.

2. Sensitive Information: how we treat health and mobility details

We ask about medical and mobility needs for one reason: so we can tell you honestly whether a tour will work for you, and so our driver can assist appropriately. We hold this information to a stricter standard than anything else we collect.

  • We ask about function, not diagnosis: what you need, not what condition you have.

  • We do not request medical records, doctor's notes, or proof of disability.

  • It is seen only by the staff who need it to run your tour safely.

  • It is not used for marketing, is never sold, and is not shared with any other guest.

  • It is kept aspart of your waiver record, for as long as we retain that record. We stop using it once your tour is over, but we do not delete it separately, because what you told us, including if you told us nothing, forms part of the record of the agreement you signed.

  • You can ask us to delete it. We will do so unless we are required to retain the waiver record, and we will tell you which applies.

If you disclose an allergy and another guest on your departure travels with a service animal, we will contact you so you can decide how to proceed — without telling either of you anything about the other's circumstances.

3. Photographs

We sometimes take a complimentary group photo during tours. Publishing it is opt-in: unless you check the consent box on your waiver, we will not use your image in our marketing, website, or social media. You still receive the photo for your own use.

If you consent and later change your mind, email us and we will remove the image from anywhere we control.

Where a photo includes a minor, consent is given by the parent or legal guardian in the party.

4. How we use your information

  • To confirm, run, and support your booking

  • To reserve your entry tickets at the sites we visit

  • To contact you before your tour with confirmation, a day-before reminder, and a morning pickup ETA

  • To reach your emergency contact, or emergency services, if something happens on tour

  • To process refunds and changes under our Cancellation & Refund Policy

  • To keep records of waiver acceptance

  • To send occasional marketing emails only if you have opted in

5. Who we share it with

Site operators, to reserve your admission. To secure your entry, we provide guest names — and, where required, other details — to the National Park Service / Recreation.gov for USS Arizona Memorial reservations and to the Battleship Missouri Memorial. These reservations are issued in guests' names and are non-transferable, so this sharing is unavoidable if you want us to handle your tickets. Those organizations handle your information under their own policies, not ours.

Service providers who run our operations. Your information is processed by:

  • Rezdy: our booking and reservation platform, which holds your booking details and guest information

  • Wherewolf— our digital waiver provider, which receives your booking details from Rezdy in order to send you a waiver, and which stores your completed waiver, including any medical or accessibility information you disclose. Wherewolf is based in New Zealand, so this information is stored outside the United States.

  • RezdyPay — our payment gateway, which processes card payments. RezdyPay may use sub-processors to handle and secure card transactions.

  • Our email service and website host

Each may process your information only to provide those services to us, under their own privacy and security terms.

Emergency responders, if there is a medical or safety emergency on tour.

Where legally required, such as a subpoena, court order, or lawful request from law enforcement.

We do not sell your personal information, and we do not share it with advertisers or data brokers.

If you booked through a third party platform such as Viator, Tripadvisor, or a hotel concierge, that platform collected your information under its own privacy policy and passes us what we need to run your tour. Their policy governs what they do with it.

6. Payment information

Payments are processed by RezdyPay, the payment gateway integrated with our booking platform. We receive confirmation that a payment succeeded, the amount, and a transaction reference. We do not receive or store full card numbers. Refunds are returned to your original payment method. We do not store your card details for future use. Each payment is a one-time transaction, and ifyou book again you will be asked for payment details again.
